Best AI Quoting Software for Print Shops (2026)

By Sam Hernandez, owner of Studio208 Print Shop · October 11, 2026 · 9 min read

In this guide

Short answer: The best quoting software for a small print shop is the one that builds accurate quotes from your prices without weeks of setup. Prinquo, which I built, creates an itemized quote from a plain-English job description using your own price sheet. Printavo, YoPrint, Teesom, and ShopVOX quote from pricing matrices you build yourself, and DecoNetwork and InkSoft lean toward online stores.

I'm Sam Hernandez, owner of Studio208 Print Shop in San Francisco. I built Prinquo, so I'm not neutral. I'll tell you what each tool does well and who it fits, and I link to every price I cite. Prices were checked in October 2026 and change often, so confirm on each company's site before you buy.

What is AI quoting software for print shops?

Traditional quoting tools make you build a pricing matrix first: quantity breaks, number of colors, setup fees, print locations. Then for every quote you pick the garment, enter the quantity, choose the decoration, and the matrix does the math.

AI quoting changes the input. You describe the job the way a customer would, like "48 black Gildan 5000 tees, 2-color front, 1-color back, need them Friday," and the software builds the itemized quote for you.

The catch is that AI quoting only helps if it uses your prices. A tool that guesses at market rates will leave money on the table or lose you the job.

What should you look for in quoting software?

Skip the feature checklists and ask these questions:

  • Does it use your prices? Your price sheet or matrix, not generic rates.
  • Can it handle how you charge? Screen or setup fees, per-color pricing, extra print locations, quantity breaks, rush fees.
  • Can customers approve and pay online? Deposits and full payments save you chasing invoices.
  • Does it track the job after approval? Quote, production, and pickup in one place.
  • What does it cost with real users? Per-user fees add up fast.
  • Is there a monthly cap? Some plans limit how many quotes you can create.
  • Can you quote a real job on day one? Long setup is a hidden cost.

How do the main options compare?

Here is the quick view. Prices are monthly list prices from each company's pricing page in October 2026. Details and links are in the sections below.

What is Prinquo and what does it cost?

Prinquo is AI quoting and shop management software for screen printers, embroiderers, and DTF and heat press shops. It's built for small shops and at-home decorators, not just big operations. I built it because quoting was eating hours of my day at Studio208, and my shop runs on it daily.

You describe the job in plain English and the AI builds an itemized quote from your shop's own price sheet and pricing rules. From there you can:

  • Email the quote straight from Prinquo
  • Let customers approve and pay online, as a deposit or in full
  • Get paid into your own Stripe account (Prinquo takes 0%; Stripe's normal processing fees still apply)
  • Track jobs through production
  • Keep a customer list with order history, total spent, and follow-up reminders
  • Use a calendar and AI growth tools, like a Google Business post generator
PlanFounding priceNormal priceAI credits per month
Starter$49/mo$79/mo100
Pro$99/mo$149/mo500

Each AI-built quote uses 1 credit, so Starter covers about 100 AI quotes a month. Extra credit packs are 50 for $10, 150 for $25, and 500 for $69. Manual quotes, jobs, and customers are unlimited. There's a 14-day free trial with no credit card required.

Prinquo's focus is quoting and running the shop, not building online stores. Each account is one login today, with team members coming to the Pro plan. If team stores are your main business, look at DecoNetwork or InkSoft below.

What are the other quoting software options?

Printavo

Printavo's pricing page lists Lite at $109/month (2 users, 20 quotes or invoices a month), Standard at $244/month (5 users, unlimited quotes), and a Premium plan you contact them about. Pricing matrices, customer approvals, a sales pipeline, S&S, SanMar and AlphaBroder catalogs, a mobile app, and a dedicated success manager come on every plan. Printavo says it works with more than 3,000 shops and was founded by a screen printer. It offers a free 7-day trial.

Great for: shops that want strong workflow automation and a support team on the phone. Why shops look elsewhere: the 20-quote cap on Lite and the jump to $244 for unlimited quotes. Printavo has no AI quote builder listed on its pricing page.

YoPrint

YoPrint lists Basic at $69/month ($59 with annual billing) with 1 user, and Pro at $149/month ($129 annual) with 5 users. Extra users are $10 on Basic and $12 on Pro. Both plans include unlimited quotes and pricing matrices. Its rules engine can apply quantity discounts, multi-service discounts, and customer-specific pricing groups. YoPrint says it charges no transaction fees.

Great for: price-conscious shops that want flexible pricing rules and unlimited quotes. You still build the pricing setup yourself.

Teesom

Teesom prices by user count only and says every feature is included in every plan: $77/month for 1 user, $111 for 2, $178 for 5, and $293 for 10. Annual billing saves 15%. It includes live chat support, unlimited price lists, vendor catalogs, and setup help.

Great for: shops that want the full feature set without tiers and don't mind building their own price lists.

ShopVOX

ShopVOX Express is $109/month plus $29 per extra user, with a 14-day free trial and no onboarding fee. It includes pricing tools, online proofing, job management, and QuickBooks Online and Xero integrations. PRO is $249/month plus $49 per user, with onboarding from $499. Some modules cost extra, like e-commerce and inventory management. Some reviewers on GetApp mention a learning curve during setup.

Great for: shops that do apparel plus signs or large format and want one system for everything.

DecoNetwork

DecoNetwork Standard is $239/month plus a one-time license fee (the amount isn't listed on its pricing page), with 3 staff accounts, 1 online store, an online designer, production management, and unlimited quotes and orders. Premium is $339/month and Enterprise is $439/month. Onboarding sessions are included.

Great for: shops whose business centers on online stores, team stores, and fundraisers. Likely overkill for: a solo shop that just needs fast quotes.

InkSoft and GraphicsFlow

InkSoft is an e-commerce platform for branded merchandise, per its Capterra listing. InkSoft doesn't publish prices; Capterra says to contact the vendor, and one third-party tracker lists plans from $314/month.

InkSoft, Printavo, and GraphicsFlow share a parent company, Inktavo. GraphicsFlow is an art-prep and approval tool, per Screen Printing magazine, not a quoting tool, so it isn't in the comparison table.

How much will quoting software cost a 2-person shop?

Here's a rough monthly estimate for 2 users on the lowest plan that fits, assuming monthly billing and no add-ons or taxes.

FAQ

What is the best quoting software for a small screen printing shop?

It depends on how you work. If you want to describe a job in plain English and get a quote built from your own price sheet, try Prinquo. If you want a mature workflow system with phone support, look at Printavo. If you want flexible pricing rules at a low price, look at YoPrint.

Is there AI quoting software for print shops?

Yes. Prinquo builds itemized quotes for apparel decorators from a plain-English description, using your own prices. I didn't find AI quote-building on the pricing pages of Printavo, YoPrint, Teesom, ShopVOX, DecoNetwork, or InkSoft in October 2026, but features change, so check before you decide.

How much does print shop quoting software cost?

Starting prices in this guide run from $49 to $239 a month, and per-user fees, add-ons, and one-time license fees can raise that. For a 2-person shop, expect roughly $50 to $140 a month on the lower-cost tools.

Do quoting tools take a cut of customer payments?

It varies. Prinquo takes 0%, and money goes to your own Stripe account (Stripe's standard fees still apply). Printavo says it doesn't take a share of your sales, and YoPrint says it charges no transaction fees. For other tools, check the payment terms before you sign up.

Can I just use a spreadsheet to quote jobs?

For a few jobs a week, yes. A spreadsheet breaks down when you need to send quotes by email, collect deposits, track approvals, and follow up. That's usually when quoting starts eating your evenings.

Do I need shop management software if I print from home?

Not on day one. You need it when quotes, deposits, and customer follow-ups start slipping through the cracks. Tools with a free trial or a low starting price, like the ones above, let you try it without a big commitment.
